Dictate emails in Gmail

Gmail doesn't have a microphone button for writing emails. You don't need one: your Mac and iPhone can dictate into any text box, Gmail included. Here's how, with tips for getting a clean email out of it.

Why Gmail has no voice button

Google's own voice typing is a feature of Google Docs and Slides, under Tools, Voice typing. Gmail doesn't have it. So you use your device's dictation, which works in any text field, Gmail's compose window included.

Dictate Gmail on a Mac

  1. Turn on Dictation in System Settings, Keyboard.
  2. Open Gmail in Safari or Chrome and click Compose, or reply.
  3. Click in the message body, then press the Microphone key or your dictation shortcut.
  4. Talk. Say "comma", "period" and "new paragraph" for punctuation.
  5. Press the shortcut again to stop. Apple Dictation also stops after 30 seconds without speech.

The same works for the subject line and the To field, but names and email addresses are easier to type or pick from suggestions.

Dictate Gmail on iPhone or iPad

Open the Gmail app, tap the message body, and tap the microphone on the keyboard. Talk, then tap the keyboard button to finish. Apple says dictation works on device in many languages without an internet connection. See how to dictate on iPhone.

Get a clean email

  • Start with the greeting and say "new paragraph" before the body.
  • Say it the way you'd say it to the person. Dictated emails often read more naturally than typed ones.
  • Check names and numbers before sending. Dictation can mishear them.
  • Use snippets for your sign-off, address or calendar link, if your dictation app has them.

A one-key dictation app

If you write a lot of email, a dictation app saves the fiddling. In SpeechBee, which we make, you hold a key in Gmail (or any app), talk, and let go. It transcribes on your Mac, removes filler words in English, German, Spanish and French, fixes names from your dictionary and expands snippets like "my signature". It can also read a long email aloud so you can check it by ear. More in voice to text for email and Slack.

Turn on Dictation in System Settings, Keyboard. Click in the Gmail message, press the Microphone key or press Fn twice, and talk.
